Check-In Hours
The Registration Desk is located in the Coastal Lobby and is open throughout the entire conference. Stop by anytime to check in, pick up your badge, or get assistance from a committee member.
When do I receive my registration confirmation or badge?
All attendees received a confirmation email at the time of registration via Eventbrite. If you have questions or need a receipt, email us at [email protected]. Badges will be available at the Registration Desk for all registered attendees starting on the first day of the conference. You do not need the email confirmation or ticket from Eventbrite to check in at the Registration Desk; we will ask for your first and last name.
Who should I contact for accommodation requests or additional needs?

Who should I contact if I experience or witness inappropriate behavior?
Please visit the Registration Desk to speak with a committee or staff member, or email us at [email protected]. In the case of an emergency, contact the hotel directly or call 9-1-1.

Need a moment to step away and recharge? The Recharge Room (Citrus Ballroom) is your spot! Stop in to grab a coffee, tea, or water, take a breather between sessions, and connect with fellow attendees in a relaxed setting. You can also use the time to chat with our conference partners and learn more about their offerings. See the Venue Map for the exact location.
Are meals or refreshments included with my ticket?
Yes! The conference includes four meals -- two breakfasts and two lunches -- along with complimentary beverages, including coffee and water, throughout the event. A happy hour will also take place during the conference. Visit the conference schedule for menus, times, and additional details.
Activities
We have some fun activities happening throughout the conference!
- AI Playground: Get hands-on with a variety of AI tools through live demos running throughout the event. Check the agenda for dates, times, and featured tools.
- Ribbons: After checking in at the Coastal Lobby Registration Desk, head over to our ribbon table near the Coastal Ballroom! Pick up a ribbon with a fun saying to add to your name badge. If you find someone with a matching ribbon during the conference, head to the Selfie Station together for a photo!
- Raffle: Make sure to stick around until the end of the conference -- you won't want to miss your chance to win a raffle prize!
How do I build my schedule or sign up for specific sessions?
The Sched app makes it easy to plan your day! Once logged in, simply click on any session and select Add to My Schedule to create your personalized agenda.
Will I have access to session recordings or slides after the conference?
None of our sessions are recorded or streamed. However, presentation materials will be available via Sched for at least three months following the conference, provided presenters have shared copies of their slides or supplemental materials. Please note that presentation materials are the property of the individual presenters and requests for copies should be directed to them.
What to Bring
There are no required materials for the conference, but here are a few things we recommend packing:
- Something to take notes with: you will be learning a lot! Whether you prefer a notebook and pen or a digital device, come ready to capture your takeaways.
- Laptop, tablet, or mobile device: feel free to bring whatever devices work best for you. The conference agenda is available in the app or on desktop via Sched.
- A light layer: meeting rooms can get chilly, so a sweater or light jacket is always handy.
What NOT to Bring
Please be aware that weapons, firearms, and flammable materials are not permitted at the resort. If you have questions about whether a specific item is allowed, please check with the Gaylord Palms Resort directly or consult local authorities.
Parking at Gaylord Palms Resort & Convention Center
Set your GPS to 6000 W Osceola Parkway, Kissimmee, FL 34746, or you can find the parking garage location using this Google Maps link for the Gaylord Palms Resort & Convention Center.
Staying at Gaylord Palms:
- Your parking charges will be added to your hotel bill. You are able to go in/out from the parking lot throughout by using your hotel room key. Your parking bill will be added to your overall guest room bill. Expect a 25% discount if you selected self-parking (off a normal $40/night plus tax bill), but valet parking is charged at the normal $52+ tax per night.
Driving In:
- From Osceola Parkway, follow the signs to convention center parking on the right side of the property (West Parking Gate on this map). Take a ticket and head into the self-parking garage. There will be a parking booth near the ballroom where you can validate your ticket for a 25% discount for around $32 (normally $40+ tax). If you miss it, just let the attendant at the exit gate know you’re with the conference and they will apply the discount. Expect to pay each day on your way out.
Is there an hourly parking rate?
There is generally no hourly rate; a flat daily fee applies regardless of your stay's length.
Where is the parking garage located?
The self-parking garage is located directly behind the main resort building. We recommend driving toward the back of the property to access the garage rather than stopping at the first available lot.
Are the parking spaces covered?
The resort has both covered and uncovered parking available. Access to covered spaces depends on current capacity, so we recommend checking the weather for potential heat or rain before you arrive.
Do I have in-and-out privileges?
In-and-out privileges are granted to overnight resort guests.
Is EV charging or accessible parking available?
Yes, there are six designated spots for electric vehicle charging, and handicapped parking spaces are available for guests with valid permits.
Can I get my parking validated?
Validation is not guaranteed for all events; however, guests dining at on-site restaurants may sometimes receive validation. It is recommended to check with the specific restaurant during your visit.
Travel Tip
Since our event is in June, please plan for high temperatures and typical afternoon rain. Be aware that Gaylord Palms is a large hub that often hosts multiple events simultaneously. Additionally, its proximity to Disney World means local traffic can be heavy; we suggest allowing extra travel time to ensure you arrive on schedule.
Bag Check
Hotel guests can arrange bag storage directly with the Gaylord Palms Resort front desk. For day attendees, a bag check area will be available in Coastal 10 on the final day of the conference. See the Venue Map for the location.
Food Recommendations
Looking for dining recommendations while you're in town? The Gaylord Palms Resort has a wonderful selection of on-site restaurants, so you don't have to go far for a great meal! If you'd like to venture out, the Kissimmee and Lake Buena Vista areas offer plenty of fantastic options as well. Recording, Streaming, and Photography
Common courtesy dictates that attendees must obtain any presenters' permission to post, record, or stream their session or activity in any medium or social media channel (including, but not limited to, Instragram, X, SnapChat, TikTok, Facebook, and YouTube). Recording/streaming for commercial purposes is allowed only with prior written permission from both Teaching and Learning with AI and the presenter(s). Sharing out links, resources, login credentials, or other information intended for registered participants to an event to non-registrants is not acceptable. Teaching and Learning with AI reserves the right to ask any participant to move within or to leave a session venue if their use of technology is disruptive to presenters or other participants or shared with non-registrants.
Please note: By attending the conference, you are agreeing to allow images, audio, chat excerpts, and video of you recorded on site by Teaching and Learning with AI personnel to be used for educational and promotional purposes. Please contact [email protected] with questions.
Data/Privacy Notice
